2019 Sponsor Exhibit Instructions

 

For those currently pledged to sponsor, the designated contact for each organization will receive information on exhibit set-up, staff registration, booth layout and important forms via email. In order to exhibit during the 2019 Design of Medical Devices Conference it is required to be a pledged sponsor.

All exhibits will be located on the second floor of the Graduate Minneapolis .
Enter through the main doors of the hotel, take the escalator up to the conference check-in desk.

Set-up:

Monday, April 15, 7:00-10:00 PM and Tuesday, April 16, 7:00-10:00 AM
Do not leave valuable items on your display over night. Please store them in the designated room provided by the conference.

Dismantle:

Thursday, April 18, 10:15 AM–12:00 PM
All exhibits must be broken down by noon as there is another event at the hotel in the afternoon.

 

Dates and Time of Sponsor Showcase/Exhibit Hours:

Tuesday, April 16: 10:00-10:30 am and 3:30-4:00 pm
Wednesday, April 17: 10:00-10:30 am and 3:30-4:00 pm
Thursday, April 18: 10:00-10:15 am

Upon arrival, please check in with the conference registration desk to pick up your name badge(s) before setting up your display. Name badges (either ours or your company’s) MUST be worn at all times. It is important that we, as well as attendees that visit your exhibit, know your name. Name badges cannot be picked up on Monday Evening.

 

Storage & Security:

We have designated a room for Sponsor Storage throughout the conference. The room will be unlocked during set-up and dismantle times. We will unlock this room by 7:00 am each day and it will be locked no earlier than 6:00 pm each day. All items must be removed from this room by 12:00 PM on Thursday, April 18.

Neither the University of Minnesota nor the Graduate Minneapolis will be responsible for any loss or damage to equipment or personal belongings while on site. We recommend removing items that carry value at the end of the day. We have never experienced vandalism of any kind, but cannot be held responsible if such an act occurs.

 

Audio Visual and Power Requests:

Sponsors are expected to provide their own audio visual materials. Please do not include large television sets or other large pieces of equipment that may be distracting to other exhibits. However, laptops or monitors running programs or slide-shows are appropriate. Please keep the volume low as a courtesy to other exhibitors.

Power Requests: PSAV will be on-site if power or accessory items are needed. Vendors will be required to work with and make payments directly with PSAV for these services. PSAV request form

 

Registration Options:

All exhibit personnel are required to individually register. This allows us to identify who is responsible for the on-site logistics of the exhibit space. A maximum of 10 exhibitors are allowed to register (2 per showcase). For more details and to register, please visit our Registration Page.

1) Access to Booth Only = $0.00*
2) Booth and Session Access = $400* flat rate/all 3 days
3) Optional: Pre-Conference workshop is also available at an additional fee.

*Lunch is not included but can be purchased for $30.00/day under either option #1 or #2

Deadline to register: Monday, April 7, 2019 (midnight CST)

 

Hotel Reservations:

All conference attendees must reserve and pay for their own accommodations. DMD will be hosted at the Graduate Minneapolis in Minneapolis, MN and is offering a special discounted rate of $175 + tax for conference attendees.

Shipping Items to the Hotel:

You may ship exhibit items no earlier than April 8. Please mark clearly on the materials: DMD Conference and your booth number. Ship to: Graduate Minneapolis, 615 Washington Avenue S.E., Minneapolis, MN 55414

Exhibitors can work directly with the hotel to ship boxes back to your respective company. The hotel's shipping and receiving department is run by John Greven (612-363-6612, jgreven@graduateminneapolis.com).

Graduate Minneapolis is located at 615 Washington Avenue S.E. in Minneapolis, MN and is connected to the Washington Avenue Ramp which charges $12.00 per day for parking.
